SayPro Volunteers

Volunteers are a vital part of the success of the SayPro Development Quarterly Pre-School Singing Competition (Event Code: SCDR-3-31, held on 01 January). With the event focused on early childhood development, cultural celebration, and joyful expression, volunteers will play a hands-on role in creating a welcoming, well-organized, and supportive environment for all participants and families.

Role and Responsibilities

SayPro volunteers will assist across multiple areas before, during, and after the event. Their duties are designed to support both the organizational team and the participating families. Responsibilities include:

1. Event Setup and Preparation

Venue Preparation: Help with arranging chairs, stage decorations, banners, and child-friendly spaces.
Registration Support: Assist SayPro staff in welcoming attendees, distributing name tags or programs, and guiding families through check-in procedures.
Technical Setup Support: Work with the technical team to:

Set up microphones and sound equipment,
Test projection equipment (for video submissions),
Ensure backup materials (e.g., batteries, cables) are available.

2. Performance Management

Stage Assistance:

Escort children to and from the stage area,
Provide reassurance and encouragement to nervous participants,
Cue performances in coordination with the program manager.
Time Management:

Help ensure performances stay within scheduled time slots,
Communicate with SayPro staff if delays or adjustments are needed.
Emergency Support:

Be available to address minor emergencies (e.g., lost items, last-minute costume fixes, comforting a distressed child).

3. Parent and Child Interaction

Welcoming Families: Greet families upon arrival and direct them to appropriate areas (seating, restrooms, waiting zones).
Providing Information: Answer questions about the event schedule, judging criteria, or amenities.
Child Support:

Keep young children engaged while they wait to perform using age-appropriate games or activities (as directed),
Offer water, tissues, or other supplies as needed.

4. Audience and Crowd Coordination

Guide families to their seats,
Maintain a calm and respectful environment during performances,
Monitor entrances/exits to ensure minimal disruptions during each act.

5. Event Wrap-Up

Post-Event Clean-Up: Help with taking down decorations, packing equipment, and restoring the venue to its original state.
Assisting with Certificates: Help distribute participation certificates and appreciation tokens to children and parents.
Feedback Collection: Encourage attendees to complete feedback forms or participate in short exit interviews.

Volunteer Training and Expectations

Volunteers will receive a brief orientation session prior to the event, covering:

SayPro’s values and mission,
Child safeguarding protocols,
Emergency contacts and first aid procedures,
Communication channels for event-day coordination.

Volunteers are expected to:

Be punctual, respectful, and friendly,
Dress appropriately (SayPro T-shirts or neutral, welcoming attire),
Maintain a child-centered approach, always putting the comfort and safety of children first,
Be flexible and responsive to changing needs throughout the day.

Recognition and Appreciation

SayPro recognizes the dedication and time offered by its volunteers. All volunteers will receive:

A certificate of appreciation,
A small thank-you gift,
Public acknowledgment during the event,
Opportunities to volunteer for future SayPro events or receive letters of recommendation (upon request).
