Role Overview:

SayPro is looking for an individual to facilitate a virtual meeting for the Diepsloot Youth Project Learnership using the SayPro platform. The meeting will focus on the findings of the January 27 Monthly Report, and the individual will ensure that live discussions, feedback sessions, and real-time data sharing are efficiently managed. The facilitator will leverage SayPro’s platform to provide a seamless meeting experience for project managers, instructors, and participants and to ensure that all relevant information is easily accessible and actionable.

Key Responsibilities:

  1. Prepare for the Virtual Meeting on SayPro Platform:
    • Set Up the Meeting Room on SayPro Platform: Create a virtual meeting space on SayPro, ensuring that all relevant stakeholders (project managers, instructors, participants) are able to access it. This includes ensuring the platform is configured correctly for live discussions, feedback sharing, and data visualization.
    • Upload Required Documents and Reports: Ensure that the January 27 Monthly Report, including participant performance data, attendance logs, task completion reports, and any other relevant documents, are uploaded to the SayPro platform before the meeting starts. Make these documents easily accessible to all participants during the meeting.
    • Ensure Platform Access: Confirm that all meeting participants have the correct permissions and access rights to join the meeting and view documents during the session. If necessary, guide stakeholders on how to access and navigate the platform.
  2. Send Invitations and Confirm Attendance:
    • Send Virtual Meeting Invitations: Send out calendar invites or meeting links to all stakeholders via the SayPro platform, ensuring that everyone knows the date, time, and agenda of the meeting.
    • Confirm Attendance: Follow up to confirm the attendance of project managers, instructors, and participants, ensuring that key individuals are available to attend and contribute to the discussion.
  3. Facilitate the Virtual Meeting Using SayPro’s Tools:
    • Host the Meeting: Initiate and manage the virtual meeting, using SayPro’s platform to allow live discussions. Ensure all participants are able to join the meeting on time.
    • Leverage Live Data Sharing: Use SayPro’s real-time data-sharing features to present live progress updates and key findings from the monthly report. Share graphs, attendance charts, performance data, and other relevant metrics in real time.
    • Guide Discussions: Actively guide the conversation, ensuring all agenda items are covered, such as feedback on the learnership program, challenges faced by participants, skill development, and future planning. Use SayPro’s platform to encourage participation by highlighting important topics and data.
    • Encourage Stakeholder Input: Use SayPro’s platform features to prompt feedback from various stakeholders. For instance, utilize live polling or chat options to ask for quick opinions or insights, ensuring that all voices are heard.

    • Time Management: Monitor the meeting timeline to ensure that all agenda items are covered and that the meeting stays on track. Keep track of time and politely steer the conversation if discussions go off-topic, ensuring the meeting ends within the allotted time.
    • Summarize Key Points: Toward the end of the meeting, provide a summary of key takeaways and ensure that all action items are clarified. This summary can be shared on the SayPro platform for easy reference later.
  8. Post-Meeting Actions:
    • Distribute Meeting Notes: After the meeting, ensure that meeting minutes or a summary of the discussion, action items, and decisions are shared with all stakeholders via the SayPro platform. This helps ensure transparency and accountability.
    • Follow Up on Action Items: Assign responsibilities for any actions or next steps that arose from the meeting and ensure that participants are clear on their roles. Use SayPro’s task management features to track progress on these action items.

    • Live presentation of the January 27 Monthly Report and real-time sharing of key data points (performance metrics, attendance records, etc.) to facilitate decision-making and feedback collection.
  3. Clear Action Items and Follow-Up:
    • A list of actionable tasks and responsibilities, along with deadlines, assigned to relevant stakeholders based on feedback and discussion points from the meeting.
  4. Post-Meeting Summary and Documentation:
    • A post-meeting summary or minutes uploaded to the SayPro platform, along with any meeting recordings or related documents for stakeholder reference.

This role is pivotal in ensuring that the Diepsloot Youth Project Learnership continues to progress efficiently.
