Role Overview:

SayPro is seeking an individual to upload all employee and participant documentation to the SayPro platform for ease of review and future reference. The documentation includes individual progress reports, feedback forms, attendance logs, and task completion logs related to the Diepsloot Youth Project Learnership. This role ensures that all collected documentation is organized, accessible, and securely stored on the SayPro platform, allowing for efficient review by relevant stakeholders during the January 27 monthly report and meeting.

Key Responsibilities:

  1. Organize Documentation for Upload:
    • Review Collected Documents: Prior to uploading, ensure all collected documents are complete and organized. This includes individual progress reports, feedback forms, attendance records, and task completion logs.
    • Sort by Category: Ensure that the documentation is categorized correctly for easy access. For instance, group progress reports by participant, feedback forms by participant and instructor, attendance records by session, and task completion logs by task.
    • Ensure Document Accuracy: Review all documents for accuracy and completeness. Address any missing or incorrect information before uploading them to the platform.
  2. Upload Documentation to the SayPro Platform:
    • Follow Platform Protocols: Upload all documentation to the SayPro platform following the established protocols and file structure to ensure consistency and ease of navigation.
    • Use Proper File Formats: Ensure that all documents are in the correct format (e.g., PDF, Word, Excel) as per the platform’s requirements. If necessary, convert files to the appropriate format before uploading.
    • Label Documents Clearly: Assign clear, descriptive labels to each file for easy identification. For example, label progress reports as “Progress Report [Participant Name] [Date]”, attendance logs as “Attendance Log [Date/Session]”, and task completion logs as “Task Completion Log [Participant Name] [Task Name]”.
    • Ensure Document Version Control: If there are multiple versions of any document (e.g., drafts or updates), ensure the final version is uploaded and clearly labeled. Use version numbers or date stamps if required.
  3. Create Folders for Easy Access:
    • Organize Documents into Folders: Set up clearly labeled folders for each participant and each category of documentation (e.g., one folder for Progress Reports, another for Attendance Records, etc.). Within each folder, organize the documents chronologically or by category as needed.

  6. Maintain Documentation Consistency:

  8. Collaboration with Stakeholders:
