The primary responsibility of the individual in this role is to oversee the logistics of all tours conducted by SayPro, ensuring the smooth and efficient operation of each tour. This includes managing every aspect of the scheduling process, coordinating between various parties involved, and ensuring that all tour guides are adequately prepared for their activities. Specifically, responsibilities include:

1. Tour Scheduling:
– Develop, plan, and maintain detailed schedules for tours, ensuring that every tour is properly organized and conducted according to the agreed timelines.
– Work with both clients and tour guides to finalize dates, routes, and locations for tours, ensuring that all parties are aligned and informed.

2. Resource Management:
– Ensure that tour guides have access to the necessary resources, such as itineraries, maps, equipment, and any other materials they might need for a successful tour.
– Coordinate with suppliers, travel partners, and internal departments to ensure all logistics are handled, including transportation, accommodations, and any special requests from clients.

3. Communication and Coordination:
– Serve as the central point of contact for both tour guides and clients, fostering smooth communication and addressing any concerns or questions that arise.
– Regularly check in with tour guides before, during, and after tours to confirm they are properly equipped and are running on schedule.
– Act as a liaison between clients and tour guides, addressing any special needs, requests, or last-minute changes to ensure satisfaction.

4. Booking and Cancellations:
– Manage tour bookings from initial inquiries to confirmation, ensuring that all necessary details are recorded and accounted for.
– Handle cancellations and rescheduling of tours, ensuring minimal disruption and offering alternative arrangements when possible.
– Keep track of all client bookings, confirmations, and cancellations, ensuring that all financial and administrative processes are up-to-date.

5. Problem Resolution:
– Quickly respond to any last-minute changes or issues that arise, such as unexpected cancellations, weather disruptions, or guide availability issues.
– Work to find solutions that keep tours running smoothly, while balancing client satisfaction and operational feasibility.

3. Managing Cancellations and Changes:
– Act as the primary contact for managing cancellations and last-minute changes to tours. Ensure that tour guides are informed of any changes and that clients are properly accommodated or refunded.
– Maintaining records of all bookings, cancellations, and changes to ensure accurate tracking and billing.

4. Client and Guide Interaction:
– Ensure a smooth flow of information between clients and tour guides. This includes providing clients with necessary pre-tour information and collecting feedback after the tour.
– Monitor the experience from both the client’s and the tour guide’s perspectives to ensure satisfaction, addressing any issues that arise during the tour.
