The SayPro Proposal Submission and Review process ensures that all project ideas generated by SayPro staff, volunteers, and regional offices are formally documented, centrally reviewed, and approved based on strategic alignment, community relevance, and technical quality. It provides a transparent and accountable system for project approval and organizational learning.
Objectives
- Enable seamless digital submission of project proposals through the SayPro website.
- Ensure all proposals meet SayPro’s development standards and address community-identified needs.
- Promote organizational alignment with SayPro’s strategic themes and regional priorities.
- Facilitate centralized review by subject matter experts for quality assurance and consistency.
- Provide timely feedback and approval to enhance readiness for implementation and donor engagement.
Proposal Submission Workflow
1. Proposal Completion
- Project teams complete a full project proposal using the standardized SayPro Project Proposal Template, which includes:
- Background and justification (based on problem analysis)
- SMART objectives
- Outputs and activities
- Implementation timeline
- Budget and resource needs
- Monitoring and evaluation framework
- Risk assessment and mitigation plan
2. Digital Upload via SayPro Website
- Users log in to the SayPro Digital Portal.
- Proposals are submitted through the “Project Submission” section, where users:
- Upload the completed template (PDF or Word format)
- Attach supporting documents (e.g., community consultation reports, needs assessments)
- Fill in key metadata fields (region, theme, target group, etc.)
3. Central Review Process
- All proposals are received by the SayPro Community Development Office (CDO).

- Approved projects receive an implementation code and are uploaded to the SayPro Digital Archive of community-driven projects.
