SayPro Material Sourcing Plan

Objective

To responsibly source and manage all materials required for nature craft activities in a way that is safe for participants, environmentally sustainable, and aligned with the educational and developmental goals of the SayPro Nature Crafts Camp.

1. Material Sourcing Philosophy

Guiding Principles:

Sustainability: Materials should be naturally occurring, biodegradable, or recyclable; avoid synthetic or non-compostable items.
Safety: All materials must be non-toxic and safe for handling by youth.
Local & Ethical: Prioritize locally collected or donated materials, avoiding harm to natural ecosystems or protected species.
Educational Alignment: Materials should help participants understand nature, resource use, and eco-innovation.

2. Material Categories & Requirements

| Category | Examples of Materials | Use in Camp |
| | – | |
| Plant-Based Items | Leaves, bark, flowers, twigs, pine needles | Leaf printing, collages, textures |
| Wood & Seeds | Branches, pinecones, seed pods, acorns | Sculptures, ornaments |
| Natural Fibers | Jute, twine, raffia, coconut husk | Binding, weaving, decoration |
| Stone & Earth | Small stones, sand, clay, soil | Painting, imprinting, molding |
| Upcycled Naturals | Reused glass jars, fabric scraps, bottle caps | Eco-art installations |
| Tool Supplies | Non-toxic glue, brushes, scissors, child-safe knives | All craft facilitation |

3. Sourcing Strategy

A. Collection Drives

Organize community collection drives 2–3 weeks before camp:

Schools, local eco-clubs, families, and youth organizations invited to donate clean, safe natural materials
Offer small incentives (certificates, SayPro eco-badges)

B. Local Partnerships

Collaborate with:

Community gardens and nurseries – to collect leaves, flowers, compostable scraps
Forestry and conservation bodies – to ensure responsible harvesting of natural materials
Craft cooperatives and eco-artisans – for tools, dyes, and natural fibers

C. Ethical Gathering

Staff and volunteers collect natural items from designated areas under the following guidelines:

No harvesting from protected or private lands
No collection of living organisms or endangered plants
Take only fallen, dried, or pruned materials
Limit volume to what’s needed to avoid ecosystem disruption

4. Material Quality Control

A. Safety Inspection

All materials are reviewed and cleaned:

Shake off dirt, bugs, or mold
Dry any moist plant materials to prevent rot
Inspect for sharp edges or hazardous splinters

B. Suitability Review

Materials are sorted and labeled by use:

Craft-specific bins (e.g., “Leaves for Printing”, “Twigs for Building”)
Age-appropriateness (some tools or items only for older groups)

5. Storage & Inventory Management

A. Pre-Camp Storage

Store materials in labeled plastic bins or eco-bags at SayPro offices
Use silica packets or dry environments to preserve organic materials

B. Daily Camp Inventory

Distribute materials each morning per activity
Keep reserve stock in the logistics tent
End-of-day checks by logistics manager to replenish or protect supplies

C. Eco-Waste Handling

Compostable waste collected separately (leaves, flowers)
Reuse leftover non-perishable items in future programs
Ensure leftover materials are not littered at the camp venue

6. Trainer & Participant Orientation

Trainer Preparation

Share material usage guides and limits
Encourage “Use What You Need” ethos to prevent overuse

Participant Education

Mini-talks before activities on:

Where the materials came from
Why sustainable sourcing matters
How we can reuse and recycle even in nature

7. Budgeting & Procurement

Sample Procurement Budget Breakdown:

| Item Category | Source Type | Estimated Cost (ZAR) |
| — | | — |
| Pinecones, Leaves | Community donations | 0 |
| Raffia, Twine | Local market purchase | 600 |
| Clay & Natural Dyes | Eco-art supply vendor | 800 |
| Non-toxic glue/tools | SayPro partner stores | 900 |
| Recycled jars/fabric | Local donor network | 0 |

Total Estimated Budget: ZAR 2,300 (adjustable per group size)

8. Monitoring & Evaluation

Post-Camp Review

Document which materials were most/least used
Evaluate the sustainability and impact of each material category
Collect trainer and participant feedback on material quality
Adjust next camp’s sourcing plan accordingly

By adhering to this detailed material sourcing plan, SayPro ensures that the camp not only fosters creativity and learning, but also models eco-conscious practices, encouraging participants to value nature as both a classroom and a collaborator.
