Role Overview:

SayPro is seeking a highly skilled and thoughtful individual to provide constructive feedback to both participants and instructors of the Diepsloot Youth Project Learnership. This role involves reviewing data gathered from participants’ performance, attendance, and feedback, as well as instructors’ effectiveness in delivering the curriculum. The individual will assess areas of growth, celebrate successes, and identify opportunities for improvement. The goal is to foster a culture of continuous improvement while empowering both participants and instructors to reach their full potential. The feedback provided will directly contribute to the success of the January 27 Monthly Report and Meeting, facilitating actionable discussions and plans for the upcoming quarter.

Key Responsibilities:

  1. Data Review and Analysis:
    • Gather and analyze data on participant performance, including completion rates, assessments, attendance records, and feedback surveys.
    • Review feedback from instructors and mentors regarding the participants’ progress, engagement, and challenges.
    • Identify key areas of success, as well as areas where participants or instructors may require additional support, based on the data collected.
    • Analyze patterns of success or struggle among participants to offer targeted feedback and recommendations.
  2. Provide Constructive Feedback to Participants:
    • Develop tailored feedback for each participant based on their performance and engagement over the course of the learnership.
    • Identify strengths in individual participants, highlighting specific achievements, skills gained, and progress made.
    • Address areas for growth by offering actionable suggestions and resources that can help the participant improve their skills or performance.
    • Maintain a positive and supportive tone in feedback, ensuring that participants feel encouraged to continue their efforts and overcome challenges.
    • Offer guidance on how participants can further develop their skills, including recommending additional resources, mentorship, or training.
  3. Provide Constructive Feedback to Instructors and Facilitators:
    • Evaluate the effectiveness of the instructors and mentors based on their ability to deliver the curriculum, engage participants, and provide support.
    • Offer constructive feedback to instructors on areas where they can improve, such as teaching methods, communication strategies, or course material delivery.
    • Recognize and commend instructors who have excelled in creating an engaging and supportive learning environment for participants.
    • Provide actionable recommendations to instructors for improving their teaching effectiveness, ensuring alignment with the program’s goals and participant needs.
    • Suggest training or professional development opportunities for instructors to help them grow in their roles.
  4. Celebrate Successes:
    • Acknowledge individual and collective achievements in both participant and instructor performance. Highlight success stories that reflect the program’s positive impact.
    • Foster a positive, motivating environment by recognizing milestones and improvements, which can inspire both participants and instructors to continue excelling.
    • Encourage participants to take pride in their progress and instructors to celebrate the positive impact they have had on the youth in the program.
  5. Identify Areas for Growth:
    • Based on performance data and feedback, identify specific areas where both participants and instructors need additional support or resources.
    • Work with program coordinators and stakeholders to develop targeted interventions, such as extra tutoring, skill workshops, or mentorship opportunities, to address these growth areas.
    • Provide recommendations for adjusting the curriculum or instructional methods if certain topics or activities are consistently challenging for participants.
    • Suggest new strategies or tools that may improve the learning experience for participants or enhance instructor effectiveness.
  6. Feedback Integration into the Monthly Report:
    • Integrate the feedback provided into the SayPro Diepsloot Youth Project Learnership Monthly Report, ensuring that it highlights both the progress and challenges faced by participants and instructors.
    • Include specific examples and data-driven insights in the feedback section of the report to make the evaluation more actionable.
    • Ensure that feedback is aligned with the program’s goals and objectives for the current quarter, and contribute to setting clear action steps for the next quarter.
  7. Support Continuous Improvement:
    • Foster a culture of continuous improvement by encouraging open communication and ongoing feedback loops among participants, instructors, and program coordinators.
    • Suggest changes to the evaluation and feedback process based on insights gained from participants, instructors, and the results of the learnership program.
    • Ensure that feedback is consistently gathered and evaluated to improve the overall effectiveness and impact of the learnership program.
  8. Ensure Timeliness and Regularity of Feedback:
    • Provide feedback to participants and instructors in a timely manner, ideally after each learning module or training session, so that improvements can be made throughout the program.
    • Ensure that feedback sessions are scheduled regularly, allowing both participants and instructors to act on the suggestions provided and to track their progress over time.

Skills and Qualifications:

  • Strong Analytical Skills: Ability to analyze data from various sources, including participant assessments, feedback surveys, and attendance reports, to identify key trends and insights.
  • Excellent Communication Skills: Ability to provide clear, actionable, and empathetic feedback to both participants and instructors. Must be able to tailor feedback to suit different needs and ensure it is well-received.
  • Experience in Education or Training: Familiarity with learnership programs or other educational/training programs, particularly in community-based settings, to effectively evaluate and provide feedback on both participant and instructor performance.
  • Attention to Detail: Ability to closely assess participant and instructor performance, identifying specific strengths and areas for growth that are supported by data.
  • Constructive Feedback Approach: Ability to provide feedback that is both encouraging and solution-oriented, helping both participants and instructors feel motivated to improve.
  • Project Management Skills: Ability to track progress, set goals, and manage timelines to ensure that feedback is delivered consistently and actionably.
  • Collaboration Skills: Ability to work effectively with program coordinators, instructors, and other stakeholders to ensure that feedback is integrated into broader program goals and action steps.
  • Familiarity with Feedback Tools: Comfortable using digital tools or platforms for providing feedback, whether through online surveys, performance tracking tools, or direct communication.

    • A clear, comprehensive report for each participant that includes:
      • Strengths and areas of success.
      • Areas for growth and actionable recommendations.
      • Resources or strategies for improvement.
    • Feedback should be positive, motivating, and provide a roadmap for improvement.
  2. Constructive Feedback Reports for Instructors:
    • A detailed report for each instructor or mentor, assessing their teaching effectiveness, engagement with participants, and alignment with program objectives.
    • Actionable feedback and recommendations for professional development and improved instructional methods.
  3. Incorporation of Feedback into the Monthly Report:
    • Integration of feedback data and evaluation results into the SayPro Diepsloot Youth Project Learnership Monthly Report, ensuring that the feedback is presented in a way that aligns with the program’s goals and objectives.
    • Use data and feedback to help inform action steps for program improvement in the next quarter.
  4. Actionable Recommendations for Program Improvement:
    • Provide suggestions for program adjustments based on the feedback from participants and instructors. This includes curriculum changes, additional resources for participants, or training for instructors.
    • Work with stakeholders to develop specific interventions for areas that need improvement.

Example Feedback for Participants:

  • Strengths: “You have shown remarkable improvement in your communication skills. Your ability to express ideas clearly during group discussions is a significant strength. Keep up the great work!”
