Role Overview:
SayPro is seeking an individual to ensure that topics extracted for the Monthly Report and Meeting are relevant to the current progress of the Diepsloot Youth Project Learnership and aligned with the objectives for the quarter. The individual in this role will be responsible for reviewing, refining, and validating the 100 extracted topics to ensure they directly reflect the learnership program’s current status, key challenges, participant progress, and future goals. This process is critical in making sure the upcoming January 27 Monthly Meeting and report provide stakeholders with a clear, accurate, and actionable overview of the program.
Key Responsibilities:
- Review and Refine Extracted Topics:
- Assess the Relevance of Topics: Examine the topics generated through SayPro’s GPT-powered tool to ensure they are directly tied to the current state of the learnership program. Verify that the topics focus on areas that are of immediate importance for the current quarter.
- Refine the Topics: Adjust the extracted topics to be more specific, ensuring they reflect up-to-date issues and developments within the program. For instance, if a specific module was recently completed or a significant challenge emerged, those elements should be incorporated into the topic list.
- Validate Alignment with Program Milestones: Cross-reference the topics with the quarter’s objectives and milestones to ensure they reflect the goals set for the current reporting period. For example, if skill development was a key focus in the quarter’s objectives, topics around skill development progress should be emphasized.
- Ensure Focus on Key Areas of the Learnership Program:
- Participant Performance: Ensure that topics extracted include discussions on both individual performance and group dynamics among participants, specifically highlighting how the learnership’s objectives are being met in relation to participants’ skills, attendance, and overall progress.
- Program Effectiveness: Validate that topics related to feedback from both participants and instructors are focused on evaluating the effectiveness of the program based on current training methods, learning resources, and participant engagement.
- Attendance and Engagement Tracking: Ensure topics on attendance and participant engagement are directly linked to any patterns observed over the quarter and reflect the impact of attendance on individual and collective progress.
- Assess Alignment with the Learnership’s Goals and Challenges:
- Current Challenges: Ensure topics related to challenges reflect issues that have been prevalent over the quarter, such as any logistical or personal obstacles that have hindered the program’s success (e.g., transportation difficulties, lack of resources, or other external factors).
- Future Goals: Confirm that future goals are in line with both the program’s long-term vision and the immediate priorities for the next quarter. These goals should be SMART (Specific, Measurable, Achievable, Relevant, Time-bound), providing clarity and direction for the program moving forward.
- Integrate Stakeholder Input into Topic Refinement:
- Collaborate with Program Coordinators: Work with the project manager and program coordinators to gather any feedback or insights on the direction of the program, ensuring that the extracted topics align with any internal updates or changes to the program’s strategy.
- Incorporate Feedback from Participants and Instructors: Incorporate feedback from both participants and instructors about areas of focus or challenges that may need more attention, ensuring that the topics align with real-time issues and experiences.
- Ensure Comprehensive Coverage of Learnership Aspects:
- Balance Between Successes and Challenges: Ensure the extracted topics present a balanced view of both progress and areas requiring improvement, offering a full picture of the program’s achievements as well as challenges that need to be addressed.
- Skills and Knowledge Transfer: Validate that the topics touch on key learning areas, including soft skills development (e.g., communication, teamwork) and technical skills that participants are expected to master as part of the learnership.
- Ensure Focus on Actionable Insights:
- Actionable Data Points: Review the extracted topics to ensure they are actionable and provide insights that will be useful for future program decisions. This might include specific areas where additional training or resources are needed, or where success stories can be highlighted to inspire both participants and instructors.
- Goal-Oriented Discussions: Topics should encourage actionable conversations during the meeting. For example, if a challenge has been identified, the topic should propose a solution-oriented discussion on how to address the issue going forward.
- Final Review and Adjustments:
- Final Validation: After refining the topics, conduct a final review to ensure all extracted topics are comprehensive, reflect the program’s current status, and are aligned with quarterly objectives. This review process ensures that no critical areas are overlooked.
- Continuous Improvement: Based on the insights gathered, make any last-minute adjustments to ensure the meeting discussions stay on track and remain relevant to the ongoing needs of the program.
- Collaborate with Stakeholders to Finalize the Topics for the Meeting:
- Share the finalized list of topics with all relevant stakeholders, such as project managers, mentors, and program leads, for final approval before the meeting. Ensure that the topics reflect their input and suggestions.
- Support the Creation of the Monthly Report:
- Ensure that the extracted and refined topics are incorporated into the SayPro Diepsloot Youth Project Learnership Monthly Report, providing clear and structured insights that reflect both progress and challenges.
- Provide any additional context to the topics to assist in writing detailed narratives for the report, ensuring that the report captures all aspects of the learnership’s current standing.
Skills and Qualifications:
- Experience in Program Management or Education: A background in education, youth development, or training program management to understand the key focus areas of a learnership program and how to track and report on progress.
- Strong Analytical Skills: The ability to analyze data from different sources (e.g., performance reports, attendance tracking, feedback surveys) to identify relevant themes and topics for discussion.
- Familiarity with GPT-Driven Tools: Experience using AI-powered tools, such as SayPro’s GPT tool, for data extraction and topic generation.
- Communication and Collaboration Skills: Strong written and verbal communication skills, with the ability to work collaboratively with various stakeholders (e.g., instructors, mentors, program managers) to ensure that the topics accurately reflect the program’s needs.
- Attention to Detail: Meticulous attention to detail to ensure that all topics are directly relevant to the current progress of the program and aligned with objectives.
- Problem-Solving Abilities: Ability to identify areas where the program may be falling short and ensure that topics for the meeting and report reflect these gaps, while also offering solutions.
- Time Management: Ability to manage the extraction, review, and refinement of topics within set timelines, ensuring the process is completed efficiently.
Expected Deliverables:
- Refined and Relevant List of Topics:
- A final list of 100 extracted topics, refined and validated for relevance to the current progress of the program and aligned with the quarterly objectives. Topics should reflect both successes and areas for improvement.
- Summary of Extracted Topics:
- A summary document that highlights key themes and objectives related to the extracted topics, offering stakeholders a quick overview of the areas that will be discussed during the meeting.
- Actionable Insights for the Meeting:
- Topics that are actionable and lead to solution-oriented discussions, providing clear next steps and strategies for addressing challenges.
- Integration into Monthly Report:

- Future Goals and Adjustments:
- Setting achievable goals for the next quarter, focusing on specific skills or areas where participants need more development.
- Adjustments to the program structure or content based on feedback from both participants and instructors.
This role is critical in ensuring that the topics discussed during the Diepsloot Youth Project Learnership’s monthly meeting are directly aligned with the program’s current status and objectives for the quarter. By ensuring relevance and alignment, the individual will play a key role in driving meaningful discussions and actions that will guide the program’s continuous improvement.
