Role Overview:

SayPro seeks an individual to manage the collection and documentation of feedback from both participants and instructors in the Diepsloot Youth Project Learnership. This role involves utilizing SayPro’s predefined feedback form templates to gather insights and suggestions for program improvement. Feedback from both participants and instructors is crucial in identifying the strengths and weaknesses of the program, and the collected data will play a vital role in refining the curriculum and ensuring the overall success of the learnership program.

Feedback from participants and instructors will help shape future program iterations, ensuring that content, delivery methods, and learner support are tailored to the needs of the participants. The information gathered will be integrated into the monthly reports and reviewed during stakeholder meetings to make data-driven decisions for the program’s continuous improvement.

Key Responsibilities:

  1. Familiarize with Feedback Form Templates:
    • Understand the Templates: Review SayPro’s predefined feedback form templates designed for both participants and instructors. These templates are structured to capture key insights on various aspects of the program, including:
      • Program content: Whether the material is relevant, comprehensive, and engaging.
      • Instructor effectiveness: Assessing how well instructors are delivering the content and engaging participants.
      • Learning outcomes: Whether the program is meeting its learning objectives and helping participants develop the desired skills.
      • Learning environment: Feedback on facilities, digital resources, and overall learning conditions.
      • Suggestions for improvement: What can be done differently to improve the program.
    • Ensure Template Completeness: Ensure that the feedback form covers all areas needed to provide a comprehensive assessment of the program. Each section should be clear and concise, with space for both quantitative and qualitative responses.
  2. Collect Feedback from Participants:
    • Distribute Feedback Forms: Regularly distribute the participant feedback forms at key milestones or after each module, unit, or training session. Ensure that all participants have the opportunity to provide feedback on their learning experience.
      • Timing of Distribution: Depending on the program’s structure, feedback forms can be distributed at various stages (e.g., end of each month, after completing significant tasks, or at the end of a major training module).
    • Encourage Honest and Constructive Feedback: Encourage participants to provide honest, constructive feedback on their learning experience, challenges they are facing, and suggestions for improvement. Make sure participants feel their feedback is valued and will be used to improve the program.
    • Track Participation in Feedback Collection: Monitor who has filled out their feedback forms and follow up with those who may not have responded to ensure that all voices are heard.
  3. Collect Feedback from Instructors:
    • Distribute Instructor Feedback Forms: Distribute the instructor feedback forms to all instructors involved in the learnership program. These forms will assess their perspective on the curriculum, training delivery, participant engagement, and any challenges they have faced.
      • Instructor Insights: Gather instructors’ opinions on the effectiveness of the program’s structure, the level of participant engagement, and the appropriateness of materials and activities.
      • Opportunities for Professional Development: Ask instructors to provide feedback on any areas where they feel they need additional support or professional development to improve their teaching effectiveness.
    • Encourage Open Communication: Foster an environment where instructors feel comfortable sharing their feedback. This may include suggestions for improving teaching methods, curriculum adjustments, or logistical support.
    • Follow-Up for In-depth Insights: After receiving feedback, consider holding one-on-one discussions with instructors if further clarification is needed on certain points.
  4. Analyze Feedback Data:
    • Review Responses for Trends and Patterns: Once feedback has been collected, carefully analyze the data from both participants and instructors to identify any emerging trends, recurring issues, or suggestions for improvement.
      • Quantitative Analysis: Use the rating scales (e.g., Likert scale ratings) to quantify aspects such as instructor effectiveness, content relevance, and overall program satisfaction.
      • Qualitative Analysis: Review open-ended responses for valuable insights, including specific challenges, suggestions for enhancing learning experiences, and areas where improvements are needed.
    • Identify Key Areas for Improvement: Based on feedback, highlight the most important areas where the program can improve. For example:
      • Curriculum adjustments: Whether certain modules need to be revised or additional materials should be added.
      • Instructor support: If instructors feel they need more training or resources to deliver the program effectively.
      • Learning environment: Any logistical or resource-related issues that need attention (e.g., access to technology, classroom facilities, or online learning platforms).
  5. Compile Feedback into Actionable Reports:
    • Synthesize Feedback: Compile the feedback from both participants and instructors into a comprehensive report. This report should clearly highlight the main themes from the feedback, including:
      • Strengths of the program: Areas where the program is excelling and where positive feedback was received.
      • Challenges and concerns: Specific issues raised by participants and instructors, including any difficulties in understanding the content, technical problems, or engagement challenges.
      • Suggestions for improvement: Practical and actionable suggestions based on the feedback received. These could be related to content, teaching methods, materials, or program structure.
    • Make Data-Driven Recommendations: Provide recommendations for program improvements based on the feedback analysis. These may include:
      • Enhancing content delivery or including more hands-on activities.
      • Improving participant engagement through interactive learning methods.
      • Providing additional resources for instructors or participants (e.g., supplemental materials or support services).
    • Submit Feedback Report: Submit the feedback report as part of the monthly learnership report or as a standalone document to stakeholders, including program managers, instructors, and project sponsors.
  6. Integrate Feedback into Program Adjustments:
    • Collaborate with Stakeholders: Share feedback with relevant stakeholders (e.g., program managers, instructors, partners) to discuss improvements and plan necessary adjustments for the next phase of the learnership.
      • Work with instructors to implement feedback related to teaching methods and course content.
      • Engage with participants to understand their concerns and ensure their feedback is considered in the next quarter’s planning.
    • Implement Changes: Collaborate with stakeholders to implement changes or pilot new approaches based on feedback. For example:
      • Modify content based on participant difficulty levels.
      • Provide additional training or resources for instructors.
      • Adjust learning delivery methods (e.g., incorporating more digital learning platforms or creating hybrid learning environments).
  7. Ensure Ongoing Feedback Collection:
    • Regular Feedback Cycles: Establish a routine for collecting feedback on a regular basis, ensuring that feedback becomes an ongoing part of the learnership program. This can include collecting feedback after key milestones or at the end of each month.
    • Monitor Program Effectiveness: Regularly track how feedback-driven changes are impacting the program’s effectiveness. Use subsequent rounds of feedback to evaluate the success of these adjustments and identify further areas for improvement.
  8. Maintain Confidentiality and Integrity of Feedback:
    • Confidentiality: Ensure that all feedback is handled confidentially and shared only with those who need to review it for program improvements. Anonymize responses where necessary to maintain participant and instructor privacy.
    • Data Security: Ensure that all feedback data is stored securely, following any privacy and data protection guidelines that may apply.

Skills and Qualifications:

  • Strong Communication Skills: Ability to communicate effectively with both participants and instructors to encourage honest and constructive feedback.
