Position Title: Event Manager – SCSPR-87
Department: Event Planning and Management
Reports to: SCSPR-87 Event Coordinator
Location: SayPro Corporate Office / Remote
Overview:
The Event Manager for the SayPro Monthly SCSPR-87 event will oversee all logistical aspects of the event, ensuring its smooth execution and successful delivery. This role requires a dynamic individual who will be responsible for coordinating the event from start to finish, with a special focus on ensuring the SayPro website functions seamlessly for registrations, content distribution, and communications throughout the event lifecycle.
Key Responsibilities:
- Event Logistics Oversight:
- Oversee all logistics involved in the SCSPR-87 event, from initial planning to post-event wrap-up.
- Coordinate all event components, including venue selection (if in-person), virtual platform setup, timing, scheduling, and materials.
- Ensure that all resources and team members are aligned to meet event objectives.
- Website Management:
- Work closely with the IT and Digital Teams to ensure the SayPro website is fully functional for registrations, content distribution, and communications before, during, and after the event.
- Oversee the event registration process, ensuring that attendees can register seamlessly and access relevant event materials and content.
- Ensure that all event-related content (agendas, speaker bios, session links, etc.) is accurately updated on the website.
- Communication Coordination:
- Oversee the development and delivery of all event communications, including pre-event, during-event, and post-event updates.
- Coordinate the email communication and marketing strategy for event promotion, registration reminders, and other key messaging.
- Ensure attendees, speakers, sponsors, and partners receive timely information regarding event schedules and participation details.
- Team Coordination:
- Lead and support a team of event staff, ensuring clear communication and task delegation to meet event deadlines.
- Liaise with speakers, sponsors, and other stakeholders to ensure all needs are addressed and the event flows smoothly.
- On-Site (or Virtual) Event Management:
- Ensure that everything runs smoothly during the event, managing schedules, responding to unexpected issues, and supporting the team.
- Serve as the primary point of contact for all event-related questions and challenges, both internal and external.
- Post-Event Analysis:
- Gather feedback from attendees and team members to assess the success of the event and identify areas for improvement.
- Provide a detailed post-event report including insights on performance, attendance, website engagement, and key learnings for future events.
Qualifications:
- Experience:
- Minimum of 3-5 years of experience in event planning and management, preferably in the digital or corporate events space.
- Strong experience with virtual event platforms and digital tools (e.g., Zoom, WebEx, or proprietary event platforms).
- Proven experience in website management and troubleshooting during live events.
- Skills:
- Excellent organizational skills with attention to detail.
- Strong communication skills, both written and verbal, for interacting with clients, teams, and speakers.
- Ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
- Proficiency with digital tools for registration, event management, and content distribution (e.g., Eventbrite, Zoom, Content Management Systems).
- Comfortable using basic project management tools like Trello, Asana, or Monday.com.
- Education:
- A Bachelor’s degree in Event Management, Communications, Business Administration, or a related field is preferred.
- Personal Attributes:
- Problem-solver with a can-do attitude and a proactive approach to challenges.
- Ability to work effectively in a team environment while also being capable of working independently.
- Flexible and adaptable in a fast-paced, dynamic environment.
Working Conditions:
