The SayPro Donation Tracker Spreadsheet is a simple, customizable, and powerful tool designed for SayPro employees to personally track and manage their charitable contributions throughout the year. This spreadsheet helps individuals maintain a clear record of all donationsโboth financial and in-kindโand aligns with SayProโs commitment to transparency, accountability, and meaningful community impact.
By maintaining an accurate log of giving activities, employees can:
- Review their giving history at a glance
- Organize contributions by cause or organization
- Ensure proper documentation for tax deductions or end-of-year reports
- Contribute to SayProโs aggregated impact assessments
๐ Key Features of the Template
The spreadsheet is available in Microsoft Excel and Google Sheets formats and includes the following columns and functionality:
1. Date of Donation
- Enter the exact date when the donation was made.
- Useful for organizing contributions chronologically.
2. Name of Charity / Cause
- Specify the nonprofit organization or cause supported.
- A drop-down list of SayPro-approved charities is included for easy reference.
3. Donation Type
- Choose between:

- โ Volunteer Time (logged in hours)
4. Donation Amount / Value
- Input the exact monetary amount donated (in ZAR or preferred currency).
- For in-kind donations or time, estimate and note the value in the comment section.
5. Recurring or One-Time
- Mark as:

- โ Monthly
- โ Quarterly
- โ Annual
6. Method of Payment
- Document the method used:
- Credit Card, Payroll Deduction, EFT, etc.
7. Donation Reference Number
- Input the reference number or transaction ID for record-keeping.
- Helps during audits or verification of tax claims.
8. Confirmation Receipt
- Indicate if a receipt was received.
- Attach/link the PDF if working in Google Sheets.
9. Motivation / Notes
- Optional field to write a personal reason or note about why the charity was chosen.
- Helps in reflecting on giving goals and building a giving legacy.
10. Volunteer Hours (if applicable)
- Track the number of hours contributed to community service.
- Supports CSR reporting and recognition programs.
