SayPro Data Collection: Gathering Placement Data

Objective:
To ensure comprehensive and accurate data collection on all placements made during the quarter, including job roles, training programs, volunteer work, and other developmental initiatives.


Key Data Points to Collect

  1. Participant Information
    • Full Name
    • Demographics (age, gender, location, etc.)
    • Educational background
    • Skills/experience
    • Placement Type (e.g., job placement, training, volunteer work, community projects)
  2. Placement Details
    • Placement Type (Job, Training Program, Volunteer, etc.)
    • Job Role/Training Program
    • Company/Organization Name (For job placements and community projects)
    • Training Program Provider
    • Duration of Placement
    • Start and End Dates
    • Location (For in-person roles, training, or projects)
    • Remote/On-Site (For remote placements)
  3. Placement Outcomes
    • Success Rate (successful completion, ongoing, terminated early, etc.)
    • Job Retention (For job placements, how many remained in the position after the placement period)
    • Skills Acquired/Improved (Feedback from participants on what they learned)
    • Impact (For community placements, the positive effects generated by the participant’s work)
  4. Feedback Collection
    • Feedback from Participants (about the overall experience, challenges faced, support received, etc.)
    • Feedback from Employers or Community Partners (performance evaluation, areas for improvement, etc.)
    • Challenges Faced (both from participants and employers, such as skills mismatches, transport barriers, etc.)
    • Success Stories (specific highlights or achievements during placements)
  5. Additional Support Data

Collection Sources

  • Placement Coordinators: Collect data on all placements made by the placement coordinators in charge of job placements, training programs, and community projects.
  • Training Providers: Gather feedback and data on participants enrolled in training programs (completion rates, feedback, and skill improvement).
  • Employers and Partners: Obtain data from employers regarding job placements, including performance evaluations and feedback on participants.
  • Community Organizations: Collect data from community organizations regarding volunteer placements and other developmental opportunities provided to participants.

Methods of Data Collection

  1. Surveys and Forms
    • Distribute feedback surveys to participants, employers, and training providers to collect detailed feedback on the success and challenges of the placement process.
  2. Interviews
    • Conduct interviews with placement coordinators, employers, and participants to gather qualitative insights into the outcomes of the placements.
  3. Data Tracking Systems
    • Utilize SayPro’s internal tracking system or project management tools to gather and centralize data on placements, including progress, outcomes, and feedback.
  4. Weekly and Monthly Check-ins

  3. Week 5:
    • Finalize data collection, ensuring that all placements and associated feedback have been captured.
  4. Week 6:
    • Begin compiling data and preparing reports for the upcoming quarterly review and analysis.

Responsible Parties

  • Training Providers: Submit feedback on participants who have undergone training programs.
