SayPro Job Description for SCSPR-87 Event Team

Position Title: Event Manager – SCSPR-87

Department: Event Planning and Management
Reports to: SCSPR-87 Event Coordinator
Location: SayPro Corporate Office / Remote


Overview:

The Event Manager for the SayPro Monthly SCSPR-87 event will play a critical role in ensuring seamless delivery of sessions throughout the event. This role will focus on coordinating with speakers, panelists, and industry experts to ensure that their presentations, discussions, and overall participation align with the event’s objectives and flow. The Event Manager will act as the main point of contact for all session-related activities, ensuring a smooth and professional experience for all involved.


Key Responsibilities:

  1. Speaker and Panelist Coordination:
    • Act as the primary point of contact for speakers, panelists, and industry experts to ensure their sessions run smoothly.
    • Coordinate schedules, ensure availability, and handle logistical aspects for speakers and panelists.
    • Confirm session content, presentation requirements, and any technical needs for each speaker or panelist.
  2. Session Preparation and Briefing:
    • Provide detailed session briefings to all speakers and panelists, outlining event objectives, audience expectations, and key session goals.
    • Ensure speakers understand event timelines, presentation formats, and any audience engagement requirements.
    • Work with speakers to refine content and ensure alignment with the overall theme of the event.
  3. Technical and Logistical Support:
    • Coordinate with the event’s technical team to ensure that all audio-visual equipment, virtual platforms, and other technical elements are set up and functioning for each speaker.
    • Ensure all speakers and panelists have access to necessary platforms (Zoom, webinar software, or in-person venue technology) and are fully prepared to deliver their sessions.
    • Provide guidance and assistance with any technical issues during the event, ensuring sessions proceed without disruption.
  4. Pre-Event Rehearsals:
    • Organize and manage rehearsals for speakers, panelists, and experts ahead of the event to ensure that all participants are familiar with the session logistics, technology, and flow.
    • Confirm that presentations are loaded correctly, and the speakers are comfortable with the virtual or in-person platform.
  5. On-Site or Virtual Event Management:
    • Serve as the point person for speakers and panelists during the event, ensuring their needs are met and that they are ready for their sessions.
    • Provide real-time assistance during live sessions, addressing any logistical or technical issues that may arise.
    • Ensure that all sessions start and end on time and that transitions between sessions are seamless.
  6. Post-Event Follow-up:
    • Gather feedback from speakers, panelists, and participants to assess the success of the sessions.
    • Provide a post-event summary and report on session performance, speaker engagement, and overall event experience.
    • Maintain relationships with speakers and panelists for potential future collaboration and participation.

Qualifications:

  • Experience:
    • Minimum of 3-5 years of experience in event management, specifically in coordinating speakers and panelists for conferences, webinars, or corporate events.
    • Familiarity with virtual event platforms and audio-visual equipment is preferred.
  • Skills:
    • Excellent interpersonal and communication skills, with the ability to manage multiple stakeholders, including high-level speakers and panelists.
    • Strong organizational skills with attention to detail, ensuring that all aspects of speaker sessions are fully prepared and executed.
    • Ability to handle logistics for both virtual and in-person events, and solve problems quickly under pressure.
    • Proficiency in using event management tools, communication platforms, and software (e.g., Zoom, Teams, WebEx, or Eventbrite).
  • Education:
    • A Bachelor’s degree in Event Management, Communications, Marketing, Business Administration, or a related field is preferred.
  • Personal Attributes:
    • Proactive, resourceful, and solutions-oriented, with a strong focus on customer service and professionalism.
    • Comfortable working in a fast-paced, high-pressure environment and managing multiple tasks simultaneously.
    • Ability to adapt to last-minute changes and manage tight timelines while maintaining high-quality results.
