Role Overview:

SayPro is focused on ensuring a high completion rate for the Diepsloot Youth Project Learnership program. The goal is to achieve a 95% participant completion rate for the quarter. This will involve working closely with participants, instructors, and project managers to track progress, identify barriers to completion, and implement strategies that support participants in completing the program successfully.

This role is crucial for maintaining the integrity and success of the learnership program. The individual in this role will be responsible for monitoring participant progress, providing necessary support, addressing challenges, and ensuring that all participants who enroll in the program have the resources and support they need to complete the program.

Key Responsibilities:

  1. Track Participant Progress:
    • Monitor Attendance: Ensure participants are attending the learnership sessions regularly by reviewing attendance logs. Address any absenteeism or tardiness early on, and provide support to participants who are struggling with consistent attendance.
    • Track Task Completion: Regularly check the status of task completion by participants. Ensure that each participant is on track to complete the required tasks or modules within the scheduled timeframes.
    • Evaluate Learning Progress: Assess whether participants are meeting the key learning objectives of the program. Regularly check progress reports to evaluate if participants are acquiring the skills and knowledge necessary to complete the learnership.
    • Flag At-Risk Participants: Identify participants who may be at risk of not completing the program (e.g., low attendance, poor performance, or lack of engagement) and prioritize support to help them stay on track.
  2. Provide Support to Participants:
    • Early Intervention: Reach out to participants who show signs of struggling or disengagement. This could include:
      • Offering additional support for academic difficulties or challenges related to skill development.
      • Providing motivational support for those who might be feeling overwhelmed or disengaged.
      • Addressing attendance issues by identifying and mitigating the causes of absenteeism.
    • Offer Solutions for Challenges: Work with participants to identify and address any personal or logistical challenges that may prevent them from completing the program. This could involve:
      • Flexible learning options (e.g., online sessions or additional learning resources) to help participants keep up with the material.
      • Referral to additional support services, such as mentorship or counseling, if needed.
    • Set Clear Milestones: Ensure that participants understand the goals and expectations for the quarter, and break these down into smaller, manageable milestones to keep them on track.
    • Regular Check-ins: Schedule periodic check-ins with participants to assess their progress, provide feedback, and address any concerns they may have. This helps keep participants engaged and motivated.
  3. Support Instructors in Monitoring Progress:
    • Collaborate with Instructors: Work closely with instructors to ensure they are providing timely feedback on participant performance. Support instructors in identifying at-risk participants and developing targeted strategies for improving their engagement and task completion.
    • Instructor Support and Guidance: Provide instructors with resources and strategies to improve retention rates and support struggling participants. This may include:
      • Differentiated instruction to cater to varying learning styles and needs.
      • Incentive programs or motivational activities to increase participant engagement.
    • Address Instructor Feedback: Regularly review instructor feedback and act upon any suggestions or concerns related to participant progress. Ensure that instructors are supported in creating a positive and engaging learning environment.
  4. Implement Retention Strategies:
    • Incentive Programs: Develop and implement incentive programs to encourage participation and engagement. This could include rewards for consistent attendance, high performance, or meeting certain milestones within the program.
    • Peer Support Systems: Foster a peer support system where participants who are excelling can mentor or support those who may be struggling. Peer-to-peer learning can help improve engagement and retention.
    • Group Activities and Engagement: Organize group activities or collaborative projects that foster teamwork and community among participants. This can increase motivation and make the program more enjoyable.
    • Recognize Achievements: Regularly acknowledge and celebrate participants’ successes, whether it’s completing a module, improving their skills, or meeting attendance goals. Positive reinforcement can encourage continued effort.
  5. Address Barriers to Completion:
    • Identify Barriers Early: Conduct surveys or interviews with participants to understand any barriers they may be facing in completing the program (e.g., personal issues, financial constraints, or difficulties with the learning material).
    • Mitigate Barriers: Once barriers are identified, work to find solutions or alternatives. This could include:
      • Offering flexible deadlines or accommodations for participants facing personal or external challenges.
      • Providing access to additional resources, such as tutoring, study materials, or technical assistance.
      • Referring participants to external support services (e.g., counseling or financial aid) when needed.
    • Maintain Open Communication: Ensure that participants feel comfortable sharing any issues they are facing, and create an open line of communication for problem-solving.
  6. Analyze and Report on Completion Rates:
    • Track Completion Data: Use SayPro’s platform to track participant completion rates in real-time. Monitor progress against the target completion rate of 95% for the quarter.
    • Generate Reports: Prepare regular progress reports to share with stakeholders, including the project manager, instructors, and other relevant parties. The reports should include:
      • The current completion rate for the program.
      • The number of participants at risk of not completing the program and the actions taken to support them.
      • Any challenges or barriers that are impacting participant completion.
    • Adjust Strategies: If the completion rate is falling short of the target, analyze the reasons and adjust strategies accordingly. This might include providing additional resources, adjusting timelines, or offering new incentives.
  7. Maintain Program Alignment with Goals:
    • Ensure Program Goals Are Met: Continuously monitor whether the learnership program’s objectives (e.g., skill acquisition, employability, or personal development) are being achieved. Ensure that the 95% completion rate aligns with the larger goals of the project and program.
    • Adjust Program Design: If necessary, suggest adjustments to the program structure or content to ensure that participants are better able to meet the requirements and complete the program successfully.
  8. Continuous Improvement:
    • Review and Learn from Past Quarters: At the end of each quarter, conduct a review of completion rates, participant feedback, and the effectiveness of retention strategies. Identify areas for improvement to enhance the program’s effectiveness in future quarters.
    • Implement Improvements: Based on past feedback and outcomes, implement continuous improvements to the program design, support systems, and engagement strategies to improve retention rates and participant success.

Skills and Qualifications:

  • Strong Organizational Skills: Ability to track and manage participant progress across various tasks and modules.
  • Excellent Communication Skills: Ability to communicate effectively with participants, instructors, and project managers to ensure participants stay engaged and on track.
  • Problem-Solving Abilities: Ability to identify barriers to completion and work proactively to remove or mitigate those obstacles.

  • Experience in Education or Training Programs: Familiarity with learnerships, training programs, or similar educational initiatives, particularly those aimed at youth or skill development.
  • Data-Driven Approach: Ability to analyze progress reports and data to assess and adjust strategies for achieving the target completion rate.

Expected Deliverables:

  1. Quarterly Completion Rate Report: A report detailing the overall completion rate for the quarter, including participant performance, barriers to completion, and any actions taken to support at-risk participants.
  2. Completion Rate Action Plan: A clear action plan for improving completion rates, including strategies for addressing issues such as absenteeism, low engagement, or skill development challenges.
  3. Ongoing Participant Support Plans: Customized support plans for participants who are at risk of not completing the program, with clearly defined action points.
  4. Incentive and Engagement Strategies: Documentation of implemented incentive programs or engagement strategies aimed at improving retention.

This role is critical in ensuring that the Diepsloot Youth Project Learnership achieves its target of a 95% completion rate.
