Position Overview:
The SayPro Camp Director/Coordinator is responsible for overseeing the comprehensive planning, execution, and management of all activities, operations, and logistics associated with the SayPro Camp. This position requires a dynamic leader with excellent organizational, communication, and problem-solving skills, capable of ensuring that the camp runs smoothly, efficiently, and safely. The Director/Coordinator will play a key role in shaping the camp experience, maintaining a safe environment, and ensuring that all educational, experiential, and developmental goals are achieved.

Key Responsibilities:

1. Camp Planning and Execution:
– Activity Development: Design and oversee the development of camp activities, ensuring that they align with the overall objectives of the camp. Activities should be engaging, educational, and provide a meaningful experience for all participants.
– Curriculum and Programming: Collaborate with the team to create a curriculum that supports the camp’s mission and vision, integrating experiential learning, team-building exercises, and age-appropriate educational activities.
– Event Coordination: Coordinate special events, guest speakers, excursions, and other on- or off-site activities to enrich the camp experience for participants.

2. Safety and Well-Being of Participants:
– Risk Management: Implement and maintain risk management protocols to ensure the physical, emotional, and psychological safety of all participants. This includes identifying potential risks, creating contingency plans, and ensuring all safety standards are met.
– Health and Medical Oversight: Coordinate with healthcare providers and ensure first aid and medical supplies are available. Maintain a system for medical emergencies and communicate health protocols clearly to all staff and participants.
– Child Protection: Enforce child protection policies and supervise staff and volunteers to ensure that the well-being of participants is prioritized at all times. Train staff on recognizing and responding to any signs of abuse, neglect, or other concerns.

3. Staff and Volunteer Management:
– Staff Recruitment and Training: Recruit, hire, and train camp staff, activity leaders, and volunteers, ensuring that they understand the goals of the camp and the specific duties and responsibilities associated with their roles.
– Supervision and Support: Provide ongoing support, guidance, and supervision to staff, volunteers, and activity leaders. Foster an environment of teamwork and open communication.
– Performance Monitoring: Conduct regular check-ins with staff and volunteers to monitor performance, address concerns, and provide feedback. Ensure that staff are equipped with the necessary resources and support to succeed in their roles.

4. Achievement of Camp Objectives:
– Educational and Experiential Goals: Ensure that all activities and events align with the camp’s educational objectives, fostering personal growth, leadership development, and a sense of community among participants.
– Progress Tracking: Develop and implement methods for tracking and assessing participant progress, feedback, and overall camp satisfaction. Utilize this data to improve and adjust future programming as needed.
– Post-Camp Evaluation: Oversee the collection of feedback from participants, parents, and staff to evaluate the success of the camp. Analyze results to improve future camps and ensure continuous improvement in meeting educational and experiential goals.

5. Logistics Coordination:
– Transportation: Organize and manage transportation for participants, ensuring timely and safe arrival and departure. Coordinate with transportation providers for off-site activities or field trips.
– Camp Supplies and Equipment: Manage the procurement, storage, and distribution of camp supplies and equipment. Ensure that all materials needed for activities are available, and monitor inventory to prevent shortages or wastage.
– Accommodation and Meals: Oversee the arrangements for camp accommodations, including cabins, tents, or dormitories, depending on the camp setup. Ensure that the camp facilities are clean, safe, and conducive to a positive camp experience.
– On-Site Logistics: Oversee the daily operations of camp facilities, ensuring that all areas (such as dining halls, activity spaces, and recreational areas) are functioning properly and meet safety standards.

6. Budget and Financial Oversight:
– Budget Management: Develop and manage the camp’s budget, ensuring that all camp operations stay within financial parameters. Work closely with the finance team to ensure proper tracking of expenses and revenue.
– Fundraising and Sponsorship: Seek out sponsorship opportunities and help organize fundraising activities to support the camp’s operations and scholarships for participants.
– Cost Efficiency: Identify opportunities to reduce costs while maintaining high standards of quality, safety, and experience.

7. Communication and Stakeholder Engagement:
– Parent/Guardian Communication: Serve as the primary point of contact for parents/guardians, providing updates on camp activities, participant progress, and any emergencies or concerns. Address parent inquiries and maintain positive relationships.
– Internal Communication: Foster clear communication between staff, volunteers, and leadership. Conduct regular meetings to ensure everyone is aligned with camp goals and updates.
– Marketing and Promotion: Work with the marketing team to promote the camp and attract new participants. This includes managing social media, creating promotional materials, and participating in community outreach efforts.

8. Camp Evaluation and Improvement:
– Feedback Collection: Create systems to gather feedback from participants, staff, and parents to assess camp effectiveness and areas for improvement.
– Continuous Improvement: Use feedback, data, and post-camp evaluations to improve camp programming, policies, and practices for future sessions.

Qualifications:

– Experience: Proven experience in a leadership or management role within a camp or educational setting. Experience in planning and coordinating large-scale events is highly desirable.
– Education: A degree in education, recreation management, or a related field is preferred, but relevant experience may be considered in lieu of formal education.
– Skills:
– Strong leadership, organizational, and communication skills.
