SayPro Project Manager
Responsibilities:
- Supervise the Preparation of the Monthly Report:
- Oversee the compilation and preparation of the monthly report, ensuring that it is comprehensive, accurate, and aligns with SayPro’s organizational standards.
- Assign tasks to relevant team members, including the Resource Mobilization Officer, Impact and Outcome Assessment Specialist, and Data Analyst, to gather all necessary data for the report.
- Provide guidance and clear instructions to ensure that the report includes all critical information, including resource mobilization outcomes, programmatic results, financial contributions, and other key performance indicators (KPIs).
- Ensure Accurate Data Collection:
- Supervise the data collection process, making sure that all relevant data sources (e.g., donations, volunteer hours, grants, financial contributions, program results) are thoroughly reviewed and accurately recorded.
- Work closely with the Data Analyst to verify the integrity and accuracy of the data being collected, ensuring there are no discrepancies or gaps in the information.
- Ensure the timely collection of data from all teams involved in resource mobilization, program implementation, and outcome assessments.
- Collaborate with Key Stakeholders for Data and Insights:
- Liaise with the Resource Mobilization Officer, Impact and Outcome Assessment Specialist, and Finance Team to gather the latest information, insights, and performance metrics.
- Ensure that all relevant program and financial data are included in the report, offering a comprehensive picture of how mobilized resources were utilized and the outcomes achieved.
- Coordinate with the Communications Officer to ensure that key success stories and updates are included to provide context to the data, highlighting the real-world impact of resource mobilization efforts.
- Review and Validate Report Content:
- Carefully review the draft version of the monthly report to ensure the data is consistent, accurate, and aligns with the intended outcomes of resource mobilization campaigns and program activities.
- Ensure that all statistical analyses, graphs, charts, and visuals included in the report are correctly represented and contribute meaningfully to the overall narrative.
- Validate the accuracy of all financial figures, ensuring that mobilized resources (e.g., donations, grants, in-kind contributions) are properly accounted for and aligned with project budgets and financial records.
- Ensure Clear and Cohesive Presentation of Data:
- Work with the Data Analyst and Communications Officer to ensure that data is presented clearly, using appropriate visual aids (e.g., charts, graphs, infographics) to help stakeholders easily understand key outcomes.
- Ensure the report’s format is professional and consistent with SayPro’s branding guidelines, making it easy to navigate and comprehend for internal and external stakeholders.
- Coordinate with the Communications Officer to ensure the tone and messaging of the report are consistent with SayPro’s communication strategy.
- Highlight Key Outcomes and Insights:
- Ensure that the monthly report emphasizes key achievements and highlights the most important data, including resources mobilized, programmatic impact, and financial outcomes.
- Work with the Impact and Outcome Assessment Specialist to clearly communicate how mobilized resources have contributed to SayPro’s goals, showcasing success stories and measurable results.
- Identify and flag any areas where resource mobilization efforts need to be adjusted or improved, using insights gained from the report.
- Ensure Timeliness of the Report:
- Set clear deadlines for each stage of the report preparation process to ensure that the final report is completed on time and can be reviewed by leadership and shared with stakeholders without delays.
- Monitor the progress of report preparation, addressing any delays or obstacles that may arise, and work with the relevant team members to ensure smooth and efficient delivery.
- Collaborate with Leadership for Final Review and Approval:
- Submit the final report to SayPro’s leadership for review and approval, ensuring that any necessary adjustments or additional insights are incorporated before distribution.
- Incorporate feedback from leadership and make any required revisions to ensure the report meets organizational standards and strategic goals.
- Distribute the Report to Stakeholders:
- Once approved, ensure that the monthly report is distributed to all relevant stakeholders, including donors, partners, board members, and other key supporters.
- Work with the Communications Officer to ensure that key elements of the report are shared via appropriate channels (e.g., email, website updates, social media, meetings).
- Ensure that the report is accessible to stakeholders in a user-friendly format, whether as a downloadable document, a web post, or through other digital platforms.
- Track and Evaluate Report Impact:
- Monitor how the monthly report is received by stakeholders, gathering feedback to assess its effectiveness in communicating the impact of mobilized resources and the progress of SayPro’s projects.
- Use feedback from stakeholders to improve future reports, adjusting content, format, or messaging as needed to ensure that reports continue to meet stakeholder needs and expectations.
By supervising the preparation of the monthly report, the SayPro Project Manager ensures that resource mobilization efforts are effectively tracked and communicated, contributing to transparency, accountability, and informed decision-making within the organization. This role ensures that stakeholders remain well-informed of SayPro’s progress and outcomes, fostering continued support and engagement with the organization’s mission.
