Position Overview:
Employees within the SayPro Fundraising, Sponsorships, Donations, and Crowdfunding Office will be responsible for ensuring the donor directory is accurate, comprehensive, and up-to-date. A crucial part of this role includes entering new donor information and regularly updating existing donor records. By maintaining precise and timely data entry, employees will contribute to fostering better engagement with donors and support SayPro’s overall fundraising and sponsorship efforts.
Key Responsibilities:
1. Add New Donors to the Directory
- Objective: Ensure that all new donor information is accurately captured and entered into the donor directory in a timely and organized manner.
- Details:
- Collect Donor Information: Gather key donor details such as full name, contact information (address, email, phone number), donation preferences (e.g., one-time, recurring), and any other relevant demographic information (e.g., age, gender, location).
- Input Donation History: Record the donor’s first donation amount, donation type (e.g., monetary, in-kind), and the date of the initial donation.
- Categorize Donors: Assign donors to appropriate categories within the directory (e.g., one-time donors, recurring donors, event-based donors, corporate sponsors) based on their contributions and preferences.
- Ensure Accuracy: Double-check entries for correctness and completeness to avoid errors that could lead to miscommunication or lost opportunities.
Example:
- A new donor makes a contribution of $100 during an online crowdfunding campaign. The employee ensures that the donor’s full name, email address, donation amount, and date are accurately entered into the system and categorized as a one-time donor for that specific campaign.
2. Update Existing Donor Information
- Objective: Ensure that donor records are updated with every new contribution or change in donor details, providing an accurate history of their involvement with SayPro.

- Track Donations: Whenever a donor makes a new contribution, the employee will update the donor’s record with the new donation details, including donation amount, type, and date of contribution.
- Update Contact Information: If a donor changes their contact details (e.g., email address, phone number, mailing address), this information must be promptly updated in the directory to ensure future communications are correctly sent.
- Document Specific Campaigns: Indicate which specific campaign or fundraising effort the donor has supported, ensuring this information is linked to their profile for future reference.

- Objective: Maintain an organized and structured directory, ensuring that all donor information is easy to retrieve and analyze, supporting future fundraising strategies and donor communications.

- Standardized Format: Ensure that donor information is entered in a standardized format (e.g., consistent date format, currency notation, and title format for names) to facilitate easy searching, sorting, and analysis.
