🔍 Overview
Accurate and consistent donor records are essential to SayPro’s transparency, operational efficiency, and donor relationship management. To achieve this, SayPro has implemented a cross-functional coordination process between the Fundraising Team, Sponsorship Team, and the Donor Data Management Unit to ensure that all records reflect real-time information, are aligned across systems, and are error-free.
This ongoing liaison guarantees that all donor entries—whether acquired through campaigns, sponsorship arrangements, or crowdfunding initiatives—are accurately captured, categorized, and verified within the central SayPro Donor Directory.

- Eliminate data duplication, inconsistency, and record fragmentation
- Ensure timely updating of records from fundraising and sponsorship activities
- Enable accurate donor reporting and engagement planning
- Strengthen donor trust through data integrity and responsiveness

- Assists in campaign planning and sponsor recognition
🛠️ Coordination and Record Consistency Procedures
1. Weekly Alignment Meetings
- Weekly 30-minute check-in meetings between Fundraising, Sponsorship, and Data Management teams
- Agenda includes:
- New donors or sponsors acquired
- Changes or updates to existing donor information
- Data discrepancies or missing documentation
- Campaign updates that affect donor categorization or reporting
2. Centralized CRM Updates
- All new donor or sponsor entries must be input into the SayPro CRM system within 48 hours of confirmation
- Any offline donations or sponsor agreements are scanned/uploaded into the system
- Sponsorships are tagged under “Corporate” or “In-Kind” and linked to specific campaigns or events
3. Shared Document Repositories
- A centralized and secure shared drive is used to store:
- Sponsorship agreements and MoUs
- Donation receipts and bank confirmations
- Donor contact logs and follow-up tasks
- Controlled access ensures confidentiality and accountability
4. Data Validation & Reconciliation
- The Data Management Team performs a bi-weekly review to:
- Match donations against sponsor contracts and pledge forms
- Verify consistency in donor names, donation amounts, and categorization
- Flag duplicate or ambiguous entries for resolution
- Inconsistencies are reported back to the relevant team for correction within 72 hours
5. Real-Time Updates and Change Logs
- All updates in donor records (contact changes, contribution adjustments, etc.) are tracked using change logs in the CRM
- Teams are notified through automatic alerts when major changes are made
- This ensures that all team members are working with the most up-to-date information
🔐 Compliance and Accountability Measures
- Donor data access is role-specific, and each update action is logged by user ID
- Misalignment or negligence in data entry is reported to department heads for resolution
- Periodic audits (monthly or quarterly) verify that internal SOPs are being followed
